Employee Provident Fund

Employee Provident Fund (EPF) is regulated by Employees’ Provident Fund Organisation (EPFO) under the Employees. Provident Funds and Miscellaneous Provisions Act, 1952. Registration under EPFO is applicable to all companies. Employing more than 20 people, under EPF scheme, an employee has to pay a certain contribution towards the scheme and an equal contribution is paid by the employer. The employee gets a total amount including employee and employer’s contribution with interest, on retirement or resignation after satisfying certain conditions.

BREAKUP OF PF CONTRIBUTION

We arrive at the rate of 12% based on the following sub-division:
  • Employees’ Provident Fund-3.67%.
  • EPF Administration Charges – 1.1%.
  • Employees’ Deposit Linked Insurance – 0.5%.
  • EDLI Administration Charges – 0.01%.
  • Employees’ Pension Scheme- 8.33%.

DOCUMENTS REQUIRED FOR PF REGISTRATION

  • First sale bill.
  • First purchase bill of raw material and machinery.
  • GST Registration Certificate, if registered under GST.
  • Name of the bankers, address of the bank.
  • Record of a monthly strength of the number of employees.
  • Register of salary and wages, all vouchers, all balance sheets from day one to current date of provisional coverage.
  • Date of joining of employees, fathers name and date of birth.
  • Salary and PF Statement.
  • Cancelled cheque.

ENTITY SPECIFIC REQUIREMENTS

For Proprietorships

  • Name of the applicant.
  • Pan card of proprietor.
  • Id proof of the proprietor like Driving license/Passport/Election Card.
  • Address proof of proprietor.
  • Address proof for the premises.
  • Complete details of the applicant with their residential address and telephone number.










For Partnership Firms / LLP / Company

  • Name of the partnership firm or LLP or Company.
  • Certificate of Registration Firms in case of Partnership firm. Incorporation Certificate in case of LLP or Company.
  • Partnership deed in case of partnership firms or LLP.
  • Id proof of Partners –Pan card /Election Card / Passport/Driving license in case of Partnership Firm or LLP. ID proof of Directors in case of company.
  • List of all partners with telephone number and address proof of all partners in case of Partnership Firm or LLP. List of all Directors with contact details in case of Company.

Society/Trust

  • In case of Society, Trust etc, Registration of the organization needs to be done with concerned authority.
  • Certificate of incorporation of society/trust.
  • MoA and Bye Laws of society and trust.
  • Id proof of president and all members of society.
  • Complete details of president and all members with their complete address and telephone number.
  • Pan card of society/trust.






PF FORMS

Form 2
  • Form 2 to be filled by an employee when he/she joins the organization. This form is filed for the purpose of declaration and nomination.









Part A
  • Part A deals with nomination details. The following details of the nominee to be provided
  • Name.
  • Address.
  • Relationship with the subscriber.
  • Age.
  • Sum of money to be paid to the nominee.
  • Guardian details (if the nominee is a minor).
Part B
  • Part B should contain the details of the nominee as already specified in Form A. In addition to it, details of the family members who are eligible to receive the children/widow pension must be furnished.Both parts should have the signature/thumb impression of the employee.





Form 5
  • Form 5 is a monthly report which contains details pertaining to the employees recently joined the organization and have registered with the PF scheme Details include.
  • Name of Organization.
  • Address of organization.
  • Code number of organization.
  • Account number of employee.
  • Name of employee.
  • Name of the husband/father.
  • Date of Birth of the employee.
  • Date of joining.
  • Track record of work.
Form 10
  • Form 10 is a monthly report that contains details of the employees who have ceased to be a part of the scheme on a given month.
  • Details include.
  • Account number.
  • Name of employee.
  • Name of the father or husband.
  • Date of leaving service.
  • Reason for leaving service.
  • Form 5 and Form 10 must be filed and stamped by the employee with the date of filing.



Form 12A
  • Form 12A is a report that includes the details of the payments contributed to the account of the respective employee in a particular month.














EMPLOYEES ELIGIBLE FOR PF

  • Employee earning less than Rs. 15000 a month are mandatorily to be registered with EPFO.
  • For employees earning basic pay more than Rs. 15000 per month, registration is not mandatory. They can make voluntary contributions after taking consent from employer and Assistant PF Commissioner.

PF FILINGS WITH EPFO

  • The employees must be paid their salary after deducting for PF. The employee and employer portion of the PF are to deposited to EPFO within 15 days after month end.

Annual Account Statement

  • Opening balance of contribution, which includes interest of both employer and employee.
  • Annual contribution of both the employer and employee.
  • Interest earned on contributions.
  • Total number of contributions made by the employer and employee.

ANNUAL PF RETURNS


Form 3A

  • Account number .
  • Name of the subscriber .
  • Name of the father or husband .
  • Name and address of the factory/establishment .
  • Statutory rate of contribution .
  • Voluntary contribution rate, if any .

Form 6A

  • Account number .
  • Name of the member/subscriber .
  • Wages, Retaining allowance (if any) and D.A. including cash value of food concession paid during the currency period .
  • Amount of worker’s contribution deducted from the wages .
  • Employers contribution (EPF and Pension).
  • Refund of advances .
  • Rate of higher voluntary contribution (if any) .
  • Remarks .
  • Month of contribution .
  • Remitted contribution including refund of advances .
  • Pension fund contribution .
  • EDLI Contribution .
  • Administration charges .
